REGISTRATION Our school operates on a two-term schedule: a school year session from September to June and a flexible summer session. The office will assign registered students into lessons or group classes. Returning private lesson and group class students must submit a completed registration form and tuition deposit to be scheduled with a teacher. We will send families a registration confirmation and billing statement for the tuition balance due after the registration and deposit are processed.

Student registration is a contract that reserves a specific day and time with a teacher each week. It is expected that students will continue for the entire school year.

If it is not possible to place a student with an appropriate teacher/class during registration, students may either place their names on a waiting list or receive reimbursement for the submitted deposit.

Registered students choosing to withdraw before the end of the session must notify the school in written form according to the “Withdrawal” policy listed below.
An annual non-refundable REGISTRATION FEE ($30/family) is due at the time of registration.

TUITION PAYMENT may be made in person at Biryukov Academy or or mailed to the Biryukov Academy of Art and Music. We offer the following payment options:

Annual: Students may pay the total tuition prior to beginning lessons, group classes or ensemble rehearsals. Tuition will be discounted two dollars per hour.
Semi-Annual: Students may pay the tuition in two semi-annual installments. Tuition will be discounted one dollar per hour.
Quarterly: Students may pay their tuition in four quarterly installments. Annual and semi-annual tuition payments must be received by the scheduled due dates to receive discounts.
Monthly: Students must pay their tuition monthly on or before the month they are taking lessons. Annual and semi-annual tuition payments must be received by the scheduled due dates to receive discounts.
Monthly Credit Card Charges: All cards are charged between the 1st and 10th of every month based on the contract. On the months when there are five weeks you be charged for five classes.
Invoices: Invoices showing attendance for the month will be sent at the end of every month for your records. You do not need to respond to these notifications.
NON-SUFFICIENT FUNDS A NSF Fee of $25.00 will be added to a student’s account for bounced checks or declined credit cards. If a family has selected an automatic payment plan with a credit card, please notify the office if your card has been replaced to avoid NSF fees.

DISCOUNTS Students enrolled in several programs at Biryukov Academy may be eligible for a tuition discount. 10% discount of fees is applicable to students in the families of three or more children for the classes. 5% discount is available for the second class and siblings.

REFUNDS There are no refunds for registration fees and tuition deposits (25% of tuition for group classea). However, pre-paid tuition for private lessons may be transferred to another family member studying at Biryukov Academy, held in reserve for future registration fees and tuition, or refunded, if requested in writing by the student. Pre-paid tuition for group classes or ensembles is not refundable.

WITHDRAWALS If a student discontinues lessons before the end of the session, he/she must submit a Withdrawal Notice Form to the teacher. The teacher will submit the form to the office for processing.

ATTENDANCE/ABSENCES Regular attendance is expected. As a courtesy to the teacher, if a student will miss a private lesson, he or she must call the office at 973-729-8652.

Students taking private lessons are allowed one excused absence between September-December and one excused absence from January-June. The lesson may be made up during make-up week. Once an excused absence has been taken, all other absences will be unexcused, not subject to make-ups, credits or refunds. Biryukov Academy reserves the right to dismiss a student with poor attendance at any time. In cases of prolonged illness or injury, the teacher must be notified of all lessons that will be missed. We may request a doctor’s note or other medical documentation to credit the student’s account for the missed lessons. If a teacher cancels a lesson, it is his/her responsibility to make the lesson up at a time that is mutually convenient for both the student and teacher.

Lessons cancelled by the teacher or excused absences that cannot be made up by the close of the session are credited to the student’s account. Credits remain on account for one year after the student’s last scheduled lesson and are not subject to refunds.

MAKE-UP LESSONS One week is reserved for make-up lessons at the end of the school season for excused absences, teacher cancellations or inclement weather cancellations. Teachers may also schedule make-ups at a mutually convenient time. Please see the “Calendar” for make-up week dates. If a student misses an appointed make-up lesson, it is considered unexcused and is not credited to the student’s account. There are no make-ups for students absent from group classes or ensembles.

TARDINESS/MISSING BOOKS Students who are late for scheduled lessons or forget their lesson books are not guaranteed their full lesson length. Students more than 15 minutes late for their lesson will be considered absent. The teacher reserves the right to cancel the remainder of the lesson.

INCLEMENT WEATHER If we are closed due to inclement weather, teachers will notify their students. Students may also call 973-729-8652 and check the message on our website www.biryukovacademy.com. Students will receive credits for lessons or group classes that cannot be made up.

FINANCIAL AID/WORK STUDY Financial aid applications for scholarship are available. It is a new program for families in Sussex County. Please fill out the request and we will get back to you. We have “Art Programs” Scholarships available for September-December 2010. Families seeking financial aid must submit applications annually. Work-Study may be awarded to families applying for financial aid as a supplement to a financial aid award.
